Pay Range: $ 44,700.00 - $ 53,600.00

General Purpose of the Position

The People Team Administrative Assistant provides administrative support to the department and performs People-team-related duties as requested by team members. They are an integral part of the team in managing people-related initiatives to support employee engagement.

ESSENTIAL DUTIES AND RESPONSIBILITIES (includes the following). May perform other duties as requested or assigned.

Administrative support

  • Performs customer service functions by answering employee requests and questions in- person, phone, chat email or ticketing system.
  • Supports the creation of People Team news and announcements for the intranet and knowledge base.
  • Takes and transcribes minutes for departmental and executive level meetings.
  • Ensures and examines personnel files are organized and updated and responds to inquiries for authorized persons.
  • Maintains the People team's calendar (schedule meetings, interviews, events, etc.) including room reservations. Makes calls and manages calendars for leadership.
  • Assists in maintaining and updating organizational charts.
  • Updates and organizes the department shared drive(s).
  • Updates and maintains s.
  • Assist with the creation of department standard operating procedures.
  • Ensure required law posters are up to date in all locations, staying abreast of changes.
  • Coordinate all logistics for meetings, training, and other events, including food & beverage ordering, room reservations and set-up, and materials.
  • Completes and submits required reports including expense reports.
  • Orders office supplies and maintain inventory.
  • May assist in audits of payroll, benefits, training documents or other People programs as needed.
  • Compiles or assists with the acquisition of data reports, summaries, and logs for the People department
  • Makes photocopies; mails, scans, and emails documents; and performs other clerical functions.
  • Processes mail.
  • Assists with intranet and knowledge base updates at the direction of the Internal Communications team as needed.
  • Serves as back up for MLO process for employees including profile set up, MLO list maintenance, NMLS site maintenance, and adhere to SAFE Act regulations and guidelines.
  • Serves as back up for Administration Executive Assistant for key responsibilities for Board of Directors and Senior Management Team.

LMS Support

  • Assists with training calendar maintenance including establishing Webex links, maintaining recordings, inputting, and maintaining events in the LMS or Intranet.
  • Help track and record attendance for general education and DEI trainings for internal records.
  • Performs employee changes in the LMS including adding, removing, or editing users.

Onboarding Support

  • Coordinates and books travel accommodations for candidates and current employees.
  • May act as a backup to confirm employment eligibility for new hires working at the corporate location by assisting in the completion of I-9 forms through the E-Verify process. Trains and assists leaders on the process for non-corporate employees.

Project Support

  • Assists with the preparation of the performance review process.
  • Contributes to team effort by completing tasks and projects as assigned and assisting team members as requested.
  • Champion Diversity, Equity & Inclusion programs in collaboration with the People Team.
  • Support employee engagement in activities and team-building plans through exit and stay interviews, recognition, community outreach, mental wellbeing initiatives, and health and wellness events, providing strategic recommendations as needed.

General

  • Identify and support ways to innovate and gain efficiencies with current processes and procedures.
  • Anticipate needs of the team by listening to concerns and thinking critically to offer solutions to problems.
  • Ability to maintain confidentiality.
  • Adhere to all Federal and State laws and regulations applicable to the credit union, including the Bank Secrecy Act and OFAC.
  • Performs other related duties as assigned.

Requirements

EDUCATION AND EXPERIENCE

Bachelor's degree preferred. Two to three years of experience providing administrative support required.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is typically required to sit for long periods. The employee continually is required to talk or hear. The employee is occasionally required to stand, walk, stoop, and reach with hands and arms. The employee will occasionally lift and/or move up to [10] pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
